Why should we have more than one team owner?

Protect your account and avoid losing access when your only owner is unavailable

Written by Dario Messina

In Gearset, only team owners can manage your team. Having just one owner leaves your account exposed if that person is ever unavailable, so we recommend every team has at least two.

What only a team owner can do

Team owners control the settings that keep your account running:

  • Add or remove team members

  • Change a member's role, including making someone else an owner

  • Assign or unassign licenses

  • Manage billing and view invoices

  • Manage team-shared connections

If you're the only owner, you're the only person who can do any of this.

The risk of a single owner

With one owner, your team has a single point of failure. If that person is away, unavailable, or leaves the company, no one else can manage the team, and your work can stall while you wait.

It's harder still if the only owner has already left and their account or email is switched off. Because Gearset stores your Salesforce metadata, we can't simply hand ownership to someone new. We run security checks first to protect your data, and those take time to complete. Adding a second owner now avoids that situation altogether.

What we recommend

Add at least one more team owner while your current owner is still active. It takes only a few clicks, and a backup owner can step in straight away if your primary owner is ever unavailable.

To add a new owner out of an existing member, click on Change user type here

and set them as Owner on the pop up screen

Then click Save and you've now added a second team owner!
