How to set backup job permissions

This article includes information on what each Backup permission enables, and how these can be used to manage user control.

When creating or editing a backup job, you are able to adjust the permissions of your backup job to grant varied levels of access to members of your Gearset team, depending on the roles and needs of that user.

This article explains how each permission affects access to the backup job.

How do I view or edit the permissions on my backup job?

To view or edit permissions for an existing Backup job, navigate to Data backup jobs, then on the job you want to edit select Edit job... > Edit settings...

Next, navigate to the Job permissions tab and select the Edit button.


Use the dropdown menu to look through existing team member to whom you want to assign permissions.​

Once you're finished with assigning permissions, make sure to hit Save!

What permissions are enabled by default?

By default, the backup job owner will always have full access to the backup job.

In addition, all team owners on the Gearset team will have View and Delete permissions.

Permissions cannot be removed from the Backup job owner without transferring the job to another team member.

Team owners and job owners can transfer ownership of the job by selecting Edit job... > Transfer ownership for a given backup job.

What does each permission grant?

The Permissions tab allows you to assign seven types of permissions to individual members of your team.

These permissions are: View, Browse, Execute, Edit, Delete, Restore and Download.

View permission

Users with the View permission can see the job on their dashboard. The job will display its status, last run and next run info. They will not be able to browse the data in the job, or make any changes to the job's settings.

Browse permission

Users with Browse permission can view, browse, and search the data contents of each job.

Assigning Browse permission to a team member automatically gives them View permission (required in order to browse through the job).

Execute permission

Users with Execute permission can run, reschedule, disable, and enable jobs.

Assigning Execute permission to a team member automatically gives them View permission (required in order to execute actions on a job).

Edit permission

Users with Edit permission can update job settings, notifications, smart alerts, and object filters.

Assigning Edit permission to a team member automatically gives them View permission (required in order to edit a job).

Delete permission

Users with Delete permission can delete records from the job as well as the entire job and its history.

Assigning this permission to a team member automatically gives them View and Browse permissions (required in order to edit a job).

Restore permission

Users with Restore permission can restore records from runs of the job to the org.

Assigning this permission to a team member automatically gives them View and Browse permissions (required in order to execute a restoration).

Download permission

Users with Download permission can download metadata and data from runs of the job.

Assigning this permission to a team member automatically gives them View and Browse permissions (required in order to download data/metadata).
