How to edit an Archive

Detailed context on how to edit an existing archive.

If you'd like to edit an archive that you've created, start by clicking the View policies button for the archive you'd like to edit in the Archiving dashboard.

Once you've selected that archive, click the Archive settings button in the top right corner.

On the Archive settings screen, you'll be presented with some options to edit your archive; the first being the General tab.

General tab

In the General tab, you'll be able to make the following adjustments to your archive:

  • Archive name - change the name of the archive.

  • Organization - can't be changed (you'd have to create a new archive), but can be seen here.

  • Daily API call usage limit (%) - can be adjusted to limit or increase the amount of API calls that Gearset will make to Salesforce.

  • Retention policy - can be set to automatically delete records older than a selected amount of years.

Note: You'll also have the option to delete the archive by selecting the button on the bottom left, which is available from each tab in the settings.

On the next tab, you'll be able to establish notifications for the archive.

Notifications tab

You can set notifications to send every time a policy runs, or only when a job fails, if you're content with no notifications for successful runs.

After selecting your notification cadence, you'll have the option to choose who receives those notifications.

Your email will be included by default, and you'll be able to add any member from your Gearset team to receive those notifications.

Permissions tab

For the Permissions tab, you'll be able to select any user from your team and delegate them permissions to your archive to interact with it in a variety of ways.

By default, the archive creator will have complete access to all archive permissions, and team owners will automatically be granted View and Delete permissions. For more info on each permission, please see our doc How to set archiving permissions.

Field permissions tab

The last tab for your archive settings is Field permissions, where you can change your preferences for future missing permissions. Gearset will automatically run a scan of the org to scan for missing field permissions after clicking the tab, and provide confirmation if all fields have the necessary read access.

When setting up your archive, you were given three options to determine how you'd like to deal with future permissions.

While we do recommend the first setting to Deploy missing permissions automatically, you are given the option to select our additional options for the archive.
