Important to note: You'll need a Backup Starter, Teams or Enterprise license to use the Data Dashboard.
Why did we build the Data Dashboard?
Salesforce storage can be expensive. And unfortunately, it can be difficult to track your usage over time or predict when you might run out of space.
In Salesforce you can see your org’s current storage usage by navigating to the Storage Usage
page on your setup. You can see your current Data and File storage usage, as well as your largest objects.
Unless you check this regularly, there is no way to predict when you might run out of storage, how much the storage has changed in recent months, or whether anything unusual is happening in your org (for example, are my largest objects now the same as they were a few days ago?).
What is Data Dashboard?
Our Data Dashboard, which is available to all of our Backup customers, uses your historical Backup data to show how your storage has changed over time.
It also calls out any fast growing objects and helps you detect any inconsistencies. For example, when an object you didn’t expect to grow, suddenly grows at a speed faster than others.
For now, the data updates once a week, so the impact of any data clean ups, archiving or storage increases won't be reflected immediately.
What do I need to access the Data Dashboard?
You'll need:
An active Backup job (with the
Browse
permission assigned to your user).The connection of the backup is using one of your personal connections or you have delegated access to that org.
Or you have a personal connection to the org used in that backup job.
How does it work?
The graph on the right shows how close the org is to your overall storage limits for both your data and your files.
You can see how much your storage usage grows week to week, which helps you predict when you might run out of space. It also helps you notice any sudden upticks or dips that you might want to investigate.
The graph on the left shows your fastest growing objects, which can be filtered up to 12 months prior. This highlights which objects grew the fastest in that given period.
If you want to investigate any objects further, a good place to start is the Object Analysis
tab in your backup job.
Here you can see exactly when the unusual change happened, and determine the cause (new managed package, new flow, etc.)
