We sometimes get asked what types of files are and aren't supported by Gearset's Backup solution. This article addresses that question.

What type of files can you backup with Gearset's Backup tool?

Gearset's Backup solution supports any file that you can upload to Salesforce. This can include commonly used file formats such as .pdf, .jpeg, .png, .docx or .xls.

The data for "files" or "attachments" is stored as binary data in Salesforce in ContentVersion or an Attachment.

Attachment represents a file that user has uploaded and attached to a parent object.

While ContentVersion represents a specific version of a document in Salesforce CRM Content or Salesforce Files. This object stores document information that are similar to Attachment. You can read more about this file on this blog post here.

What other objects store backed up files/attachments?

Some of the file types backed up in our app can also be stored as:


ContentNote - notes created with the enhanced version of Salesforce's note-taking tool.
Document - a file that user has uploaded. Document, unlike Attachment records, is not attached to a parent object.
Idea - represents an idea on which users are allowed to comment and vote. For example, a suggestion for an enhancement to an existing product or process.
StaticResource - it allows you to upload content that you can reference in a Visualforce page, including images, stylesheets, JavaScript, and other files.
QuoteDocument - represents a quote in a document format.

How can I preview my backed up files?

Because Gearset doesn't perform any rendering of backed up files, it won't be possible to preview already backed up file within our app (for example a .pdf).

But you're able to download file(s) from your backup job, and then open the file locally if you need to preview a specific file.

What files are not supported by Gearset's backup?

This depends on the type of files that aren't supported in Salesforce. Usually, that would mean Gearset's can't support their backup either.
